Summary:
The Director of Orchestra Personnel is responsible for the effective and efficient management and coordination of all personnel activities for The Philadelphia Orchestra musicians. This position serves as a liaison with conductors, musicians, external partners and Philadelphia Orchestra and Ensemble Arts (POEA) administration regarding implementation of personnel policies. This position is responsible for executing and enforcing the regulations of the CBA and taking disciplinary action when necessary. This position will serve as liaison between administration and musicians.
Responsibilities / Essential Functions:
Assist and advise the Chief Artistic Production Officer, President and CEO, and Music Director in the overall management of the orchestra and establishment of orchestra personnel policy.
Manage the terms of the Collective Bargaining Agreement as they relate to orchestra personnel management, personnel and benefit policies, and individual musician contracts. Ensure that members of the orchestra adhere to all policies and applicable agreements.
Ensure rehearsal and concert service readiness through creation of seating rosters for each work, stage calls, attendance taking, calling, and timing of breaks, services, and overtime. This includes explaining service protocol and master agreement service terms to all conductors and step in to ensure compliance if necessary.
Manage all musicians, both full-time and part-time, daily to ensure smooth day-to-day operations of the orchestra and a timely, successful resolution to all personnel issues.
Maintain personnel, complaint, and attendance records and files. Coordinate and ensure the proper implementation of leave requests, string rotation, and individual contracts. Assist in the creation of the schedule and the recording of vacations, split orchestras, relief, leave, rotation, wind / brass / percussion assignments, and all auditions. Regularly review concerns regarding scheduling of the above.
Manage the Orchestra Personnel Manager and interact daily, providing training and direction in all areas of responsibility pertaining to the orchestra and support the hiring of substitutes and extra musicians, as needed.
Work closely with the Orchestra Music Library personnel to ensure smooth operations and service for the musicians of the Orchestra.
Oversee the complete scope of the audition process in compliance with the CBA and POA audition policies. Oversee the management of auditions scheduling and audition days.
Responsible for the oversight of the administration and management of the complete scope of the payroll process.
Develop annual budgets for orchestra personnel department costs; extras and all incidental payments for musicians; monitor the budget and resolve any discrepancies; provide monthly monitoring.
Serve and participate as a member of management’s negotiations team with the American Federation of Musicians (AFM). Maintain confidential files, conduct research, and assist with managing the process, as needed.
Work with musician committees and POEA administration to plan and execute the Trade Agreement and to support day-to-day operations and organizational policies.
Participate in all domestic and international travel of the Orchestra, including but not limited to tours, summer residencies, and run-outs.
Manage the organization, planning and production of residency activities, including but not limited to tours and for summer festivals. Oversee the seamless integration, execution, and staffing of all residency activities.
Oversee and track the equitable selection process of musicians for non-service activities including residencies, education programs, interviews, etc. and in collaboration with applicable departments.
Manage back-of-house requirements and work concert duty shifts.
Provide orientation for new musicians to their responsibilities and to orchestra procedures.
Education / Experience:
Bachelor’s degree or equivalent required, with a minimum of 10 years prior Orchestra personnel or orchestra operations experience required. A thorough knowledge of orchestral repertoire and instrumentation and AFM agreements required, along with experience in labor negotiations and contract administration.
Knowledge / Skills / Abilities:
Excellent interpersonal and communication skills are essential along with concise writing proficiency.
Proven problem-solving skills in a high-pressure environment with an ability to work independently and make critical decisions in emergency situations.
Ability to be fair and compassionate when enforcing collective bargaining agreements and organizational policy.
Strong knowledge of personnel administration procedures.
Ability to read music and familiarity with orchestral repertoire.
Proven performing arts administration experience in orchestra personnel.
Working knowledge of Microsoft Office, including strong, advanced Excel skills.
Experience with ArtsVision or equivalent software is required.
Working Conditions:
Routine for office environment, with periods of high activity. The employee will be required to travel offsite with the Orchestra, including domestic and international travel, and will perform the essential functions of the job during evenings and weekends.
