Provide executive-level, confidential, administrative, organizational and project management support for the President and Chief Executive Officer at Symphony Hall and Tanglewood.

• Manage the schedule and maintain electronic calendar for President; coordinate internal and external meetings initiated by the President; provide background information for all meetings and track generated action items.
• Interact regularly and handle requests from members of the Board of Trustees/Advisors, Executive Team, Music Director, BSO musicians, foundation and government officials, members of the press, leadership from other orchestras and arts organizations, donors, and subscribers.
• Screen President’s incoming phone calls; forwarding to others, as appropriate. Handle routine calls independently.  Keep accurate daily logs, including follow-up.  Facilitate Zoom calls.
• Arrange all travel logistics and accommodations and assist in developing itineraries.
• Handle, proof/edit correspondence in a timely manner. Draft routine correspondence for the President.
• Assist in preparation of documents generated by the President for meetings and presentations. 
• Provide administrative support for weekly Executive Team meetings: prepare agenda, draft, and disseminate action item list post-meeting.
• Work closely with the Development department in securing meetings and/or dinners with board members and donors.
• Serve as member of the InfoShare Sub-Committee (created to help facilitate better communication, clarity and understanding between departments, flag issues and collectively create solutions.) Responsible for coordinating the manager bi-weekly meetings and writing and distributing the “minutes” for those meetings; work with subcommittee on developing presentation ideas for the monthly full staff informational meetings and coordinate logistics.
• Assist in tracking expenses, submit AMEX and expense reports, EZPASS usage.  Serve as accounts payable liaison with Finance Office.
• File, retrieve and archive electronic and paper files.
• Coordinate the President’s calendar with BSO calendar of events.
• Manage all aspects of transition to Tanglewood, including President’s housing.

Required Education and Experience

• Minimum of five years’ experience in fast-paced, executive management office environment. Experience with donors and/or senior management preferred.
• Strong database management, computer utilization, organizational and interpersonal skills.
• Proven project management skills.
• Ability to deal with complex, confidential matters, multi-task and work collaboratively.
• Excellent writing, editing, proof-reading and administrative skills.
• Proven ability to successfully manage multiple changing priorities in a calm manner.
• Willingness to work flexible hours to complete tasks.
• General knowledge/appreciation of classical music preferred.
• Relocation to Tanglewood required during the summer.
